WOODVALE COMMUNITY LEAGUE EXECUTIVE MEETING FEBRUARY 19, 2008 BOARD MEMBERS PRESENT: Dennis Emmerling, Cheryl Emmerling, Barry Headrick, Brad Park, Shawna Middleton, Angela Schneider, Alice Park REGRETS: Kumarie Achibar-Morrison, Jacquie Breitkreitz, Christina Gray, Neal Gray GUESTS: Jay Row, Bryan Evans Meeting called to order by Alice Park at 7:28pm. MINUTES: The following changes will be made to the January 2008 minutes; add the call to order, Colleen Derrick moved to member at large, bingo reports and ice it up grant. MOTION: To accept the January minutes as amended. Moved by: Cheryl Emmerling Seconded by: Brad Park Carried. REPORTS: Treasurer: Barry Headrick Barry handed out November and December statements and both months went well. December had a YTD loss of $218 000 due to the rink upgrades but is still ahead by $34000 and should get half of the rink expenses back in grants. Barry moved that the report be adopted for information only. Community Services: Jay Row Jay told the Board that the operating grant is available to Woodvale, it is based on population and includes a section of Tawa. Sandy will so the appropriate paperwork to apply for the grant. There is also a maintenance renovation grant available. The MCARFA Family Day activities at Jackie Parker Park went well, Premier Stelmach made an appearance. Approximately 350 people attended, down from previous years. Hillview will have a free soccer program in May and June, it will be organized by the Pastor from Hillview Baptist Church. There will not be a sports van out this summer to Hillview, there will be a skateboard van instead. First Time Home Buyers (FTHB) needs a communication rep to keep all the parties (Woodvale, Greenview School and the City) in contact. Shawna will do it. Jay also handed out the CRC notes. Greenview School: Shawna Middleton Next PAC meeting is Monday March 10 with Rohit and the City presenting the FTHB. Membership Sales: Cheryl Emmerling 21 memberships were sold at soccer registration. Memberships are still being sold out of houses and 296 members as of date. Canada Day: Dennis Emmerling There are only four people on the committee as of date and need more if Canada Day will happen. Meetings are held on the last Monday of each month at the recreation center, call Dennis for more information. Publicity/Website: Christina Gray (by report) Christina provided Alice and Shawna with a copy of the March newsletter submission. The Board looked it over, made some changes and additions and it was returned to Christina. Activity Center: Kumarie Achibar-Morrison (by report) Ageis will be changing the locks. There are four groups currently using the activity center and would like to advertise for use of the space in the newsletter. Kumarie has taken over a vacuum over to the activity center and would like to be paid $50 for it, or extend the existing central vacuum in the playschool. The playschool has had its stored items tampered with and the current users of the activity center are claiming that they are not responsible. The door has been found numerous times unlocked and the alarm disabled. ADT’s contact is only with the playschool, it was discussed that Kumarie should be the contact for ADT not the playschool. Monthly cleaning will be done in the activity center, not the skate shack. Marty will be in charge of that. Kumarie thought that the big Woodvale sign should be attached to the skate shack if it is not being used for anything else. There were some parking concerns as well since there are many people using the parking lot. How many spots are for the playschool? Currently there are 5. Do the teachers use the Woodvale side? Yes they do. Who is responsible for the signage? Woodvale for the playschool. Alice will talk to Kumarie about the issues but there is not much that can be done. It is an issue for all parties involved. Casino: Angela Schneider The casino is June 5 & 6. Angela is working on the application and it is due by April 8. CORRESPONDENCE AND PRESIDENTS REPORT: Nothing to report. BUISNESS ARISING: Hillview Sensory Gym: Bryan Evans Bryan is following up from the November meeting when an occupational therapist from Hillview’s early education program came for donations for the construction of a sensory gym. They have been approved to build the gym and our donation will be used for the installation of two engineered ceiling hooks for sensory activity therapy, not the construction of a wall as was first discussed. The hooks will cost $8969.96 installed. Construction is slated to begin on spring break, if not then it will happen over the summer. The early education program is expected to double in size next year and keep growing. It only serves children from Millwoods and if it keeps growing, only children from Woodvale. Hillview PAC has not allocated any funds for the project since the casino was held before the early education program existed. Bryan will got to their PAC to see if they can also help with the funding. MOTION: To spend up to $5000 for the cost of the installation of the engineered hooks into the ceiling of Hillview’s sensory gym pending approval from gaming. Moved by: Barry Headrick Seconded by: Dennis Emmerling Carried. Bylaws: Alice Park The bylaws were not ready at this time. Some clarification is needed for quorum and who qualifies to vote. Outdoor Rink/Activity Center: Brad and Alice Park The next stage with the rink is getting funding for upgrading/rebuilding the skate shack. Hockey teams practice one team per day for one hour at 7-8pm. Any team can use the facility as long as at least one member of the team belongs to Woodvale. Woodvale will ask the City and Rohit for help to fund a new facility while building FTHB. The future of the playschool is in question. The agreement is not being fulfilled on the playschool’s end, a new agreement may be needed. There is not a representative currently coming to the meetings. NEW BUISNESS: Socan: Dennis Emmerling Socan is billing all community leagues for $185 for licencing fee for music used by halls. Once the bill is paid it gives Socan the right to audit and charge a fee for each event that used music. Dennis said that MWPC advises that the invoice not be paid. Our invoice will not be paid.
