WOODVALE COMMUNITY LEAGUE EXECUTIVE MEETING SEPEMBER 18, 2007 BOARD MEMBERS PRESENT: Bruce Petterson, Mark Klotz, Dennis Emmerling, Cheryl Emmerling, Angela Schneider, Jacquie Breitkreitz, Shawna Middleton, Barry Headrick, Paul Chiasson, Rajiv Sinha, Alice Park MEMBERS AT LARGE: Leann Proctor, Martin Winter, Kumarie Achaibar-Morrison GUESTS: Jay Row Meeting called to order by Angela Schneider at 7:34pm. MOTION: To accept the minutes from the last meeting of August 21, 2007. Moved by: Mark Klotz Seconded by: Jacquie Breitreitz Carried REPORTS: Treasurer: Barry Headrick Barry handed out the operational statements until July 30th. He will have Augusts’ statements at the next meeting, he passed around a copy of the audited statements ending March 31st. Community Services: Jay Row Summer programs went well with high attendance, Hillview’s ended two weeks early due a fire. The leader from Hillview finished the summer off at Greenview’s shack. There were behaviour concerns at the Hillview site, mostly fighting amongst the children, a strong male or female athletic figure may benefit. The leader at Hillview also felt that it was being used as a babysitting service. Alice and Sandy have received a survey regarding the program. Jay handed put copies of CFC notes. Mark mentioned about the trees in Woodvale, and how the dead ones are to be replaced every four years, it has been seven. Eighty four trees need to be replaced since 2002 and that Woodvale paid for the trees and one year of watering, not the city. Jay said to write a letter to forestry regarding the trees. The FTHB consultation meeting has been re-scheduled to October 24th to allow builder / developer to attend. It will be the same time and place, but with the builder in attendance it will be more informative. Jay emailed invitations to all the people on the list from the pubic forum, it is a closed meeting. Discussion about the gazebo and basketball court went on about who is responsible; it was unclear at the time who owns the basketball court. The gazebo is owned by Greenview School PAC, and they are planning to tear it down due to illegal activities and vandalism. Jay will also look into resources from the City for our FTHB survey. Hall Operations : Alice Park August was a good month, but there are still staffing issues. Margret is having concerns that nobody has filled the hall operations position, the candidate would need business experience. The restaurant staff is working very hard. Mill Woods Presidents Council : Rajiv Sinha There is a Dinner September 28th at 6pm, five people from the Board should attend (Angela, Jacquie, Barry, Rajiv and Alice). Dennis and Neal are invited with Canada Day. There is a workshop on October 3rd called Helping our kids change the world. It is being held at the Westin Hotel and need to RSVP by September 28th. Greenview School : Shawna Middleton School started on September 4th and Greenview school’s PAC AGM is on September 25th. Membership Sales : Cheryl Emmerling Membership drive going on now, Cheryl has had a hard time getting canvassers. Sixty memberships were sold at indoor soccer registration. Cheryl suggested that we explore avenues to increase membership sales, she will inquire to other leagues and see what they do. Jacquie said that Leefield does a BBQ and they sell them at a discount that one time only. It will be discussed at a future date. Canada Day : Dennis Emmerling Nothing to report. Reimbursements : Jacquie Breitkeritz Nothing to report but the bingo sign in sheets are not coming in promptly. Publicity : Celeste Nicholson Ran is still listed for hall operations, there is not a bingo list and the past president is incorrect. Activity Center : Vacant There are many keys to the activity center unaccounted for and Brad is looking into it. The locks will be changed and exchange keys as needed. 66th Street Sign : Paul Chiasson Nothing to report. Casino : Angela Schneider Woodvale’s casino draw date will be on November first and donations made from casino funds has increased from $1000 to $5000. Community Affairs : Mark Klotz Volunteers have visited or dropped off survey at 899 out of 2135 homes. Out of the 899, 422 abstained or didn’t respond. Out of the 477 that responded 314 were opposed and 163 were in favour. A letter has been sent to the Councillors outlining what has taken place from the forum, the petition and the survey. The city has voted to approve the sale of Greenview and Homestead sites, developers have yet to be selected. The committee’s next step is to contact new candidates (two have been contacted so far) and school board candidates. The petition and a letter has been sent to Ray Daneleck from the Province and see where they can go from here. Mark suggested to stop the survey since there was enough feedback to convince Executive to change decision. Executive wanted to know what question was asked, it was asked if they were in favour or opposed to the pilot? Rajiv wanted to know if the other 50% will be polled, the response was no so far due to volunteer fatigue. Since only the yes or no’s are counted it seems like the majority is opposed. Now the Board will wait and see what the City and the Province does. The remainder of the houses in Woodvale will receive survey even if they are just dropped in mailboxes with a postage paid return envelope. MOTION: To spend up to $3000 to support survey for FTHB. Moved by: Mark Klotz Seconded by: Barry Headrick Carried CORRESPONDENCE AND PRESIDENT’S REPORT Alice has received many emails while on holidays and has not had a chance to go through them all. The survey results have been coming in. BUISNESS ARISING: Rink Upgrades : Brad Park (by report) The old rink has been torn down and we have been moved up on the list and the new rink should be in place as early as the end of October. NEW BUSINESS Millcreek Pool: How much does Woodvale pay to use the pool during the summer? Due to staff shortages the pool is closing at 7pm and we have free swim from 7-9pm, so why should we pay to use a pool we can’t even use? It will be dealt with when we get billed. Movie Tickets: We need to buy more tickets. MOTION: To but 1000 movie tickets and still offer first 8 for $5 each. Then $8 each for the next after that. Moved by: Dennis Emmerling Seconded by: Angela Schneider Carried Newsletter: The question arose that do we pay for which ones are delivered or do we pay a flat rate. We should not pay for the ones not being received. Alice will look into it. Volunteer Appreciation Dinner: The date has been set for Saturday April 12th. Do we want to do a dance? No, it should be dinner and another form of entertainment. Activity Center: Kumarie Achaibar-Morrison offered to take over the activity center, and inquired what was involved with the position. There are no contracts in place for using the center since it is free of charge to non-profit groups as long as users bring it to the Board for approval. Files regarding the activity center may have been left in the office by Larry. She also brought up the need for approaching new residents of Woodvale and stating the priorities of the Community League and possibly putting it in the newsletter.
