WOODVALE COMMUNITY LEAGUE EXECUTIVE MEETING MINUTES April 17, 2007 BOARD MEMBERS PRESENT: Alice Park, Shawna Middleton, Heather Lajeunesse, Cheryl Emmerling, Angela Schneider, Jacquie Breitkreitz, Dennis Emmerling, Mark Klotz, Brad Park, Marianne Murray, Christina Gray, Neal Gray, Larry McDonald, Paul Chiasson, Rajiv Sinha, Gene Starling, Ran Newby, Barry Headrick GUESTS: Jay Row Meeting called to order by Alice Park at 7:45pm. MOTION: To accept the minutes from the last meeting of March 20, 2007. Moved by: Mark Klotz Seconded by: Carried. REPORTS: Treasurer: Barry Headrick Barry presented the 11 month report ending on February 28, 2007. He also reported a February loss of $18,606 and added that it is normal to lose money in February. He asked that his report be received as information. Community Services: Jay Row Jay handed out the most recent newsletter. He mentioned that the Old Man Creek Nursery has free mulch, anyone interested should phone first. He identified that the playground at John Paul 1 School is on Catholic School Board land so the city cannot help unless the park is on city land. He mentioned the First Time Home Buyers meeting with Mayor Mandel at 9pm tonight. He mentioned that the operating grant needs Barry's signature. MCARFA/EFCL: Neal Gray Neal had nothing to report an MCARFA. He said that we will be hosting the fall EFCL meeting on October 22. Hall Operations: Ran Newby Ran compared March 2006 to March 2007, in 2006 we lost $11,000-$12,000 and in 2007 we had a profit of $11,000. There are many functions booked in the facility tomorrow, and he mentioned that some restaurant staff and cook were hired and that Trish is now the restaurant co-ordinator. Since the Golf Course is still closed, they are helping in the banquet area. Bingo : Gene Starling Parkway bingo moved to the Rivera location on March 22 and has been very busy. Gene said due to the move the required number of volunteers is much lower, but may be revisited depending on future numbers. Gene said that we will always take volunteers and not turn any away. Bingos are scheduled until August 27, and new dates will be added in June. The playschool would like 45 spots in 3 bingos, but due to the smaller number of volunteers required Gene will have make do with what is available (possible over more dates). Mill woods Presidents' Council: Rajiv Sinha He attended the MWPC's meeting on April 5th. They want an assessment of what the youth of Mill Woods wants in a youth centre so that an appropriate center is built. Surveys will be sent to schools to get input from the parents on what the center should involve. There is a steering committee being set up for the Youth centre, the committee is short 6-8 youth volunteers to spearhead the centre. Due to delivery problems with the Mill Woods Newsletter, Rajiv said that since our website is now up to date that we should use it as a link to the newsletter. At the meeting Dave Thiele spoke of a new go centre at John Fry Park it will have basketball, volleyball, etc. There was also mention of the new NAIT South Campus in Ellerslie named the Ralph Klein Campus. Greenview School: Shawna Middleton She said that the school was in the process of getting signs from the school board regarding no parking in the lot during afternoon dismissal; she will let the board know when the signs should be arriving. Membership sales: Cheryl Emmerling The supplies for next membership year are being prepared, and she will start getting volunteers to do the fall canvassing. Canada Day : Dennis Emmerling He said that not too many people have been at the last couple of meetings, and they could use all the volunteers they can get, volunteers can contact Neal Gray. Dennis is also looking for performers (dancers and vocals). Reimbursements: Jackie Breitkreitz Reimbursements are going fine; she requested a list of bingo dates and is missing one sign in sheet. Stuart contacted her regarding a missing cheque, but Gene had it and gave it to him. Publicity: Celeste Nicholson Celeste was absent but Heather will pass on information from Jay for the newsletter. Activity Center: Larry McDonald The yoga group discovered that the activity center heat controls are located in the skate shack. The skylight is in the process of being fixed; meanwhile the other was vandalized and also needs to be fixed. 66th Street Sign: Paul Chiasson Currently the sign is advertising the volunteer dinner, after that it will mention the newsletter website and park activities for the summer. Web Site: Christina Gray She added the volunteer dinner and by the next meeting should have some photos. Ran will send her a copy of the updated executive. Casino Chair: Angela Schneider Our next casino will be in the second quarter of 2008, and has made a request for Argyll. Community Affairs: Mark Klotz He is hoping to set up a public forum regarding the first time homebuyers, possibly in 2-3 weeks. He would like to have it advertised on the 66th street sign, the website and at the schools. He will mention it to the mayor tonight. CORRESPONDENSE AND PRESIDENT'S REPORT: Jay had a letter about a Block Party special partnership with CTV; it would like to promote block parties starting with a kick off on the May long weekend, and every Friday after for 16 weeks. Apply to CTV and if chosen will get to use and possibly keep a BBQ. Jay also said that the city has block party kits. BUSINESS ARISING Signage Issues at the Activity Centre: Ran Newby He looked into getting tag and tow sides for both sides of the parking lot entrance. They will be 2' by 2' and 6'6" off the ground and will say that it is private property and do not park or you will be tagged and towed. He said it will take two weeks to make the signs at a cost of $200-250 per sign installed. Shawna will let Greenview School know and possibly split the cost involved. Plumbing Upgrades at the Activity Center: Stuart du Kamp Stuart was absent. Rink Upgrades: Brad Park He had an estimate of $40,000 for the rink with piles, an extra $35,000 with grade beam, and $175,000 with a concrete pad. The storage shack quote was for a 20'x20' garage (too big for what we need) at $6,700 and removing the wall between the two change rooms is $2,900. He is still waiting for a quote from Built-Rite. The soil test has not been done yet and the price quoted was incorrect, instead of $500-700 it is actually $4000. The board decided to do the soil test after the rink project is approved. Brad said that it can still be ready for fall 2007, so the board will make decisions in May. Volunteer Appreciation Dinner/Dance: Alice Park It will be western theme, the evening's agenda will be sent to Alice. Call Sandy to get tickets. Angels mentioned that perhaps have the dinner in the slower months (winter) so that a Saturday night would be available. Jackie needs to know when bingo reimbursements are being exchanged for invites to the dinner, and Gene said that volunteers for frequent bingo managers should get both due to the extra hours they put in throughout the year. MOTION: People that frequently work as office managers (arrive 30 minutes early) at Woodvale bingos get volunteer dinner tickets because of extra non-reimbursed hours. If anyone has ideas for improvements to let Margret know. The event will be posted in the newsletter and in the schools. Re-shaling the Baseball Fields: Gene Starling She mentioned that in the November 21, 2006 agenda the fields to be re-shaled are John Paul 1 numbers 3 and 4. Canada Day Donation: Dennis Emmerling Dennis would like Woodvale to donate $1000 from gaming money to the Canada Day celebration. The board will decide at the next meeting. Cineplex Movie Tickets: Ran Newby Movie ticket costs are increasing from $7 to $8 after May 7th. The price that Woodvale sells the tickets will remain the same until the fall, they will cost $7.50. MOTION: Purchase of 1000 tickets before May 7th to sell at $7.00. Moved by: Heather Lajeunesse Seconded by: Brad Park Carried. The ad for the movie tickets in the newsletter is misleading, Cheryl will change the ad to read $7 and $5 with first membership purchase. Newsletter Errors: Angela Schnider Angela noticed that the ads in the latest newsletter had many errors and inquired into proof reading of the ad. Alice will speak to Celeste about it.
